XP Driven Promotions: Next Stage of Implementation

Greetings all,

For years now we've been carefully balancing and shaping a system to replace our method of promotions to something less subjective and more objective. We currently have this work done, and are ready to start the next phase of implementation.

Just so there's no confusion, under no circumstances will anyone be demoted (nor is it even in my power to do so as the Grand Master per the Covenant).

To begin the next phase of implementation...

  • Effective end of the day (site time) January 15, 2023 there will be a freeze on sacramental and merit medals as well as promotions (non-automatic promotions). This is to allow a transition period to the new system where XP will grant promotions.
  • After this date and the freeze starts, we will assess everyone's current rank, and XP level, and work with leaders through the MAA office to discuss awards and plans ahead of a hard cut in date. This will include promotions for those who will have earned them under the new system, and discussing medals or options to get XP to those who don't have enough to retain their current rank. This is in main part due to promotions being given in lieu of a medal previously, which will change in the new system.
  • MAA policy will be open for discussion during this period, as it will change once XP goes live and published by the MAA office.

The next phase and a hard cut in live will happen after all the policy decisions are finalized, and the work with leaders is complete on the site. This could be 2 weeks, or more, depending on how long it takes and how responsive everyone is during this period.

Once implemented, the DJB will have a straightforward system for their rank up through Equite 4. Where members can focus on doing the activities they enjoy and earning XP, while leaders can focus on which medal a member has earned without wondering if it's a medal or a promotion. The DGM (Bubba) and I have a plan for Elder ranks which we will discuss more later as well as what to do with XP once a member reaches EQ4 but implementation at this point is focused entirely on XP getting members up to EQ4 in rank. This will also replace Promotheus as XP will start right away, the Headmaster is working to map those activities to XP generation so even newly joined members can just start to rank up.

As a 17 year EQ3, I thank you for your efforts on this.

Spreadsheets are saving the world, one formula at a time. Any path that becomes transparent to members for ranking up is welcome and fantastic progress! Thank you all to everyone who's worked on this project.

What does it mean by "retain their current rank"? Also how is this going to factor in the medals given if the understanding is the XP system taking over awarding automatically for competitions? Are medals going to be awarded for things like editing a wikipedia page? Is there going to be admonishment towards a lack of awarding due to people just not performing these tasks since this is all volunteer?

Each rank will have a specific xp amount required. Every dossier will be assessed to determine how much xp each member has. If you have less xp than required to be at your current rank. There's a gap. You won't be demoted. We'll get every member enough xp to be at their current rank. We'll start that process once promotions and medals are frozen so we aren't chasing a moving target.

On the flip side, if someone has enough xp to be promoted immediately in the new system. They will be.

Medals will still be awarded. That's part of the MAA policy that will be worked so that everyone is clear on how that will work. My report on the next steps didn't dive into these specifics but will be clear before we move forward. We haven't entirely nailed it all down, hence the discussion period. We have a working model that works similar to how things work today as a starting point just that you'll never get a promotion instead of a medal.

about time this system has been overhauled. people waiting for eq3/4 promotions cause of the leadership requirements was asinine, hence why numerous folks who don't want leadership roles are so far on the back burners, they became charcoal.

perhaps with this new system where we are rewarded for other than leadership will bring many folks back that left cause they weren't getting recognition for the work they did outside of leadership.

oh and also, hopefully this xp system gives xp for the trophies we been getting in the site like multiple SA degrees or longevity in a clan or a certain path, etc...

You haven't needed a leadership position to get promoted to those ranks in almost 10 years. They're just the most defined ways (because it's easy to count months).
