Introduction

Hello everyone!

It’s me, your friendly neighborhood Deputy Grand Master! We’ve had a big structural change arrive, and with it comes some changes in my day-to-day duties. So let’s talk about it.

By now, you may have noticed the Council is looking a bit different. If you haven’t taken the time to read Howie’s very Howie-esque news post regarding this change, I encourage you to do so now. This change has a club-wide impact.

Obviously, with a change of this scale, there will be a slight adjustment period as we all settle into this new structure. My goal with this report is to provide some clarity on what this means for you, how it will affect the day-to-day operations of the club, and how you have an opportunity to get involved.

Where We Are

First and foremost, I want to thank Howie for his many years of excellent service as our Master-at-Arms. His level head and incredibly strong anti-bullshit sense have helped keep so many processes here running smoothly. I also want to recognize Halc and Mune, who both long served on Team MAA, helping keep this club functioning.

For quite some time, Howie has been an advocate for killing off the MAA position, once improvements to the site would make many of the MAA duties redundant. The longstanding goal has been to fold the responsibilities of the MAA office into the DGM office. Thanks to the progress of the XP system and countless quality-of-life improvements implemented by James, we have finally reached that point.

For most members, you should expect very little to change in terms of how you interact with the site. All administrative processes that previously ran through the MAA office will continue to operate as normal. Queues that require review and oversight will still be handled, competitions will continue to be run and approved, and administrative requests such as name changes or unit transfers will still be processed. The major difference will be that instead of emailing the MAA staff, you will need to reach out to the DGM staff instead.

In short, the work continues as before, just under a slightly different structure within the Council. The biggest difference you may notice is that the Council offices will be just a little less… bear-infused.

Join Team DGMAA

While the responsibilities of the former MAA office have been consolidated into the DGM office, the workload itself has not disappeared. There are still queues to monitor, requests to process, and administrative tasks that require attention. Additionally, like everyone else, I occasionally have times when I am not online, and it is important that the system continues to function smoothly during those periods.

As such, I am opening positions on my staff.

It has been quite some time since the DGM office required additional staff support, but with the recent structural changes, it is not practical (or desirable) for me to handle everything alone. A small and capable team will ensure that administrative processes continue to run efficiently while also providing oversight and accountability within the system.

I am pleased to announce that Mune will be joining the office as a Magistrate. This position allows them to contribute their considerable experience and expertise while still giving them the flexibility they need for their very busy real-life schedule.

In addition to this, both the Praetor and Magistrate roles are currently open.

These staff positions are primarily focused on the administrative side of the club’s site operations. Responsibilities include monitoring and processing various site queues and assisting with routine administrative tasks such as:

  • Processing name changes
  • Handling unit transfers
  • Reviewing and approving competitions
  • Processing medals and awards
  • Assisting with promotions

Staff may also be called upon to resolve occasional issues within the system. For example, this might include correcting a competition type after it has already been started, resolving problems with submissions, or helping finalize items that are pending closure.

It is important to note that these staff responsibilities will be focused specifically on the administrative and queue-processing aspects of the DGM office. They will not overlap with the otheraspects of the role.

Staff Expectations

Serving on Team DGM comes with a few practical expectations. While the workload is manageable, it does require attentiveness and a willingness to engage with the administrative side of the club.

Discord Presence

Staff members should maintain a presence on Discord, particularly in the private #dgm-staff channel. This space will be used to discuss administrative matters and coordinate decisions, especially for higher-level awards that grant non-site XP.

Email Notifications

You will receive a significant number of automated emails related to site activity and administrative queues. This is normal (and regrettably) unavoidable. Consider this your fair warning.

Interest in Site Administration

Staff will gain access to administrative tools and functionality within the site. While these tools are not particularly difficult to use, they do include a wide range of options and controls. A willingness to learn and navigate these systems is important.

Knowledge of Club Policies

All approvals and remands must follow established club policies. Staff members are expected to be familiar with these policies and apply them consistently when reviewing requests or processing items in the queues. There will be a clean-up done on all policies, primarily due to needing to remove references to the MAA position.

Independence and Accountability

Perhaps the most important expectation is the ability to speak up when something does not seem right. I do not want staff members who simply approve everything that comes across their desk. If you believe that Atra or I are attempting to award or process something incorrectly, you should feel confident raising that concern. Constructive disagreement and accountability help ensure that recognition within the club remains fair and meaningful. In short: do not hesitate to call us out if we are being dumbasses.
